We will show you below how you can make your shipping processes related to shipping label printing even more efficient and cost-effective by using our add-on modules, based on the most frequently used modules.
Fully automatic shipping label printing instead of manual delivery bill processing
With the “Automatic Polling” function, the HVS32 waits for incoming data from the ERP/WMS system and immediately prints the corresponding shipping label fully automatically. This means that shipping staff no longer need to scan a delivery bill or perform other manual actions in the shipping software, as the shipping label is printed directly as requested in the upstream ERP/WMS system. This not only saves time but also minimizes the risk of errors.
Centralization of the fully automated process (so-called background operation / black box)
The process described above can be further optimized with the “HVS32 Monitoring Service” by using network-compatible label printers that are controlled via a central server-based shipping software instance. This eliminates the need for a PC at the shipping workstation and shipping staff no longer have to operate/monitor shipping software.
In this scenario, many functions of the shipping system can also be addressed via current interfaces (such as RestAPI, SOAP, JDBC, etc.), such as daily closing, cancellation, reprint, list reprint, data record update, etc.
Automated time-controlled actions (daily closing)
If you want to automate regular actions time-controlled, this is possible with the “HVS32 Monitoring Event Service”. Possible actions are e.g. daily closing (per carrier/client), report generation or route updates (for certain carriers).
Automated database reorganization and archiving
The HVS32 uses a central database in which all processed packages are stored. The associated constant growth of the database has a negative effect on the overall performance of the shipping software. It is therefore recommended to archive older package data that is no longer required accordingly. This process can be carried out fully automatically with the “Database archiving” service, whereby the execution interval (e.g. 1x/month) as well as the data to be archived (e.g. everything older than 3 months) can be freely selected. In addition to archiving, a complete reorganization/optimization of the database is also performed, which ensures a permanently high performance of the shipping system. The archived data can then be displayed again via a separate menu item in the HVS if required. Alternatively, the data to be archived can also be deleted directly, which simplifies DSGVO-compliant handling in the event of deletion requests.

Optimize freight costs through best price determination and invoice verification
The “Heidler Freight Cost Management System” (HFMS) is a tool for the holistic optimization of your freight costs. It can be operated independently with external shipping software or seamlessly with the HVS32 shipping system. Among the core functions is the Best-Price determination, which always determines the most favorable price of your used carriers per shipment and thus enables an enormous savings potential! Another function, the freight invoice check, imports digital invoices (CSV/IFTMIN format) from the carriers and compares them at item level with the data sent. Corresponding differences are displayed transparently and serve as a basis for complaints. This function alone saves our customers between 8-12%. Due to the high manual effort involved in classic invoice verification / controlling, usually only random checks are carried out with moderate “success”, which is a thing of the past with this tool!

Automated batch processing from files
If you also ship promotional goods such as catalogs, sample parts, giveaways, etc., no order is usually created for them in the upstream ERP/WMS system because no purchase order exists either. With the “Action from file” or “File batch” module, this process can be massively simplified by loading an address list (CSV) as mass processing and automatically printing the shipping labels for it. This provides a quick and easy variant for action-based mass mailing and all the advantages of the shipping software in terms of information, tracking, etc. can be used.

Import and evaluate status information for each package more automatically
We refer to the detailed information provided by a parcel service provider to the recipient and the sender during the transport of a parcel as status data. This information (“has arrived at depot XY”, “has been delivered”…) can be downloaded automatically with the help of the additional module “Status Data Manager” and displayed in the HVS32 information system. Furthermore, this status data can also be fed back into the upstream system (ERP/WMS), so that you can view the information there directly in the order.
In addition, the module offers an (internal) web interface, which makes it possible to evaluate the standard transit times of all carriers used, to assess carrier performance or to provide proactive information in customer service (“how long will my order take to reach me”).
